The Impact You'll Make on this Role
The Administration Legal Analyst plays a central role within the Legal Operations team, ensuring the accuracy, timeliness, and integrity of all accrual processes and the proper management of invoices. This professional is responsible for maintaining up-to-date records, supporting financial reporting, and contributing to the efficient operation of payables and receivables. Working closely with other Legal Operations staff, as well as Finance, and vendors, the analyst must possess both analytical skills and a keen attention to detail, balancing process consistency with the agility required to resolve issues and adapt to organizational needs.

Key Responsibilities

  • Prepare, examine, and analyze accrual entries for various departments, ensuring data is accurate and complete.
  • Maintain and reconcile accrual schedules monthly.
  • Coordinate with different departments and stakeholders to gather the required information for proper accrual estimation.
  • Assist with month-end and year-end close processes, ensuring all accruals are properly captured and documented.
  • Resolve invoice discrepancies by coordinating with vendors and internal teams, maintaining a high level of professionalism and responsiveness.
  • Proactively identify opportunities to streamline accrual and invoice processes to enhance department efficiency and accuracy.
  • Prepare periodic reports on accrual balances, outstanding invoices, and related KPIs for management review.

  • Leads the accrual process for the Global Legal Affairs team.

Your Skills And Expertise
To set you up for success in this role from day one, Solventum requires (at a minimum) the following qualifications:

Education & Experience

  • Bachelor's degree in business administration, Finance, Accounting, Legal Studies, or a related field or advanced Student
  • 2–4 years of experience in legal operations, financial administration, or invoice/accrual management.
  • Experience working with cross-functional teams (Legal, Finance, Vendors).

Technical Skills

  • Proficiency in financial systems (e.g., SAP, Oracle, Coupa, or similar ERP tools).
  • Strong skills in Excel (pivot tables, VLOOKUP, formulas) and data analysis.
  • Familiarity with e-billing platforms and legal matter management systems.
  • Understanding of accrual accounting and invoice lifecycle management.

Work location:

  • Hybrid Eligible (Job Duties allow for some remote work but require travel to Herdia Costa Rica at least 1-2 days per week)

What will you be doing?

  • Prepare NPD regulatory submissions such as 510(k), technical documentation files, design dossiers for new and modified devices.
  • Acts as regulatory representative on cross functional project teams; Work closely with project teams to develop regulatory strategies, testing requirements and other documentation to assure that regulatory submissions are prepared and approved to meet the Company's product launch timelines for new and modified products.
  • Plans and Prepares international dossiers for New Product Development Key strategic markets to obtain and maintain global regulatory approvals of products to meet company product launch times.
  • Reviews and approves product, supplier and manufacturing changes for compliance with applicable regulations and applicable procedures.
  • Reviews and approves device labeling and advertising and promotional materials to ensure continued compliance to global regulations; may lead the development of regulatory strategies for new claims, indications and therapies.
  • Ensures distribution of products within SAP comply with regulatory requirements and liaise with Regulatory PLD specialist to provide updates to licensing and management of SAP license blocks, release requests for registration.
  • Updates and maintains company databases with required information and status for Unique Device Identifier, GUDID, Di, EUDAMED, RIMSYS, licenses, registrations, renewals, products, and other required data to assure compliance with business and Regulatory requirements.
  • Maintain a working knowledge of existing and proposed regulations, standards and guidance documents, internal procedures, and facility registration, device listing and import/export requirements.
  • Development of departmental and corporate Standard Operating Procedures and departmental procedures, when necessary. Provides support for internal and Regulatory Agency audits.
  • Provides technical guidance to junior regulatory professionals inclusive of coaching and mentoring and guidance to cross functional teams.
  • Build Quality into all aspects of job performance by maintaining compliance to all quality requirements and participates in training and development activities as required and other duties as assigned.

What will you need to be successful?

  • Education: Bachelor's degree (BS) or higher degree in Clinical, Medical, or Scientific/Technical Disciplines.
  • Certifications: RAC Professional certification(s) (preferred).
  • Experience: 5+ years' experience in global regulatory submissions in a regulated environment (medical device).
  • 3+ years' Prior experience with Product Development and Design Control Processes and Product Lifecycle Management Systems is preferred.
  • Prior experience with Product Lifecycle Management Systems and large-scale document management systems a plus.
  • Languages: Advanced English skills.
  • Knowledge: Proficiency with SAP, Windchill, Agile, RIMSY, Microsoft Office, Adobe, internet is preferred.

Your background:

  • Law degree from a reputable university.
  • Minimum of 5 years of relevant in-house experience as a commercial lawyer, preferably in the technology industry, focusing on software, SaaS, and cloud offerings.
  • In-house experience in a fast-paced, business results-oriented, and team-based environment.
  • Understand complex contractual and business issues, assess risk, and provide concise business-focused legal advice to internal clients.
  • Self-motivated, proactive, problem solver, and team player who can drive multiple time-sensitive projects.

In this role you will Negotiate agreements with broad protections, favorable license use rights, volume discounts and multi-year contracts with suppliers for the procurement of software licenses, software maintenance and hardware maintenance in support of customer-related business processes or internal use. Advises internal customers on business case requirements, baselines market prices and negotiates best-in-class license & commercial terms based on business requirements, capacity demands and complex license or support optimization options.

Accumulate, organize and cleanse large amounts of data from multiple sources; interpret data and formulate license compliance positions.

What You'll Do

  • Negotiate and defend best-in-class software license & commercial terms.
  • Partner with Business Units & Technology to optimize licensing & support based on demand and technology roadmaps.
  • Verify software license entitlements; interpret contract use rights and recommend strategies for license optimization and risk mitigation.
  • Accumulate, organize and cleanse large amounts of data from multiple sources; interpret data and formulate license compliance positions.
  • Lead audit defense and compliance dispute negotiations.
  • Manage work request volume, complexity and productivity for work assigned within defined SLOs.

What Experience You Need

  • Bachelor degree or equivalent job experience
  • 3+ years working on Software Contract Negotiation.
  • 2 years of experience interpreting complex software license terms and conditions.
  • 2 years of experience with Software License & Support Optimization.
  • 2 years of experience with Data gathering and formulation of License Compliance Positions.
  • 2 years of experience with Asset Management tools and technologies.
  • Excel or Google Sheet experience (Intermediate level)
  • English level B2 minimum

  • Ability to collect and cleanse data to formulate a license compliance position.
  • Knowledge of IT infrastructure & virtualization technologies.
  • Strong knowledge of software licensing models and compliance risks.
  • Strong contract negotiation skills.
  • Strong background negotiating software license agreements and license compliance settlements.
  • Excel or Google Sheet experience (Advanced level)

Requisitos:



Incorporado al Colegio de Abogados y Abogadas de Costa Rica.

Conocimientos en derecho civil, mercantil y notarial.

Habilidad de redacción, organización y análisis jurídico.

Preferible dominio de inglés.
